ADMINISTRATIVE /PERSONAL ASSISTANT

DETAILS:

  • 20 -30 Hrs/week
  • Flexible Hours – Some evenings and Saturdays required.
  • Position begins December 2018 or soon after
  • Pay $14-16/hour depending on experience
  • Must be over 18 years old

POSITION OVERVIEW:
The Administrative Assistant is charged with assisting the Director and other staff with the administrative details needed to make Grace Place School run efficiently and in an organized fashion and in compliance with requirements. There are many facets to this job that may entail public relations, preparing documents, coordinating programs and volunteers, designing newsletters and social media, and coordinating schedules of staff and students.

-Highly organized and faithful to meet deadlines
-High energy individual who works well within a team environment
-Enjoys working with teens and families from various cultures. Experience in this preferred.
-Active Christian with demonstrated love for Christ and others
-Previous successful Administrative Experience
-Demonstrated mastery of Word, Excel, Powerpoint, and Publisher
-Skilled at using the internet, social media, and researching as needed
-Ability to organize and keep track of a variety of assignments at one time
-Willing to openly communicate quickly and honestly with the director re: questions, misunderstandings, etc.
-Strong team leadership skills
-A passion and calling to serve the Lord

RESPONSIBILITIES

Assisting the Director

-Maintaining the office and program areas in an orderly fashion which will include filing, organizing of materials, keeping accurate phone records, and communicating with the Executive Director on her schedule and activities of the day and month.
-Preparing for events, activities, and classes in whatever way is needed.
-Track donors effectively and carry out the donor care plan of the ministry.
-Track personnel information on all students, volunteers and staff.
-Make suggestions to help make tasks and events more efficient and timely
-Manage records required by grant monies awarded
-Any job delegated by the Director

Communications

-Email, calls, and letters of communications to partners, families, donors, and others.
-Design some newsletters, flyers, FB pages, and Mail Chimp emails.
-Prepare and orchestrate events keeping accurate records, recruiting and organizing volunteers
-Active participation in weekly meetings
-Sends out biweekly prayer requests and keeps a prayer journal of requests and answers

Program Coordination

-Work with Executive Director and teacher in attending to details required by various programs.
-Keep schedules of staff, volunteers, drivers, etc
-Shop and/or delegate shopping for necessary food and supplies required for a program
-Available and able to cover programs as needed to stay in ratio
-Other tasks as needed.
